You’ve finished recording your patient interaction or dictating your encounter summary—now what? Your results are saved to the Encounters View, which displays all your interactions at a glance for easy management. Here’s what it looks like:
Each patient record is displayed on its own line with:
Title: Automatically generated based on the interaction and editable via the pencil icon.
Start time: When the encounter started.
End time: When the encounter ended.
Duration: The active recording time, excluding any pauses.
Note: Duration reflects only the time the recording was active. For example, if a recording runs from 1:00 PM to 1:30 PM, but is paused from 1:10 PM to 1:20 PM, the duration is 20 minutes, not 30 minutes.
Tip: Some providers add patient initials or a birthday-name combo here. That way you can search later which can be useful if you're seeing a lot of patients.
You can search your charts anytime by typing into the search box. Other ways to find charts include clicking the Recent button to sort them by most or least recent, or using the Date Filter to select a date range from the calendar, as shown below:
In this view, you can quickly manage your charts after copying them into your EMR. You have two options: archive or delete. Click the button below to get access to both options:
It's very important to know the difference between the two options:
Archive:
Stores the chart for later retrieval.
You can Archive one by one, or you can set an automatic archive frequency (e.g., daily, weekly) by going to Settings > Security > Records Archive.
Delete:
Permanently removes the chart. Important: Deleted records cannot be retrieved as they are fully wiped from our servers.
It's good practice to delete records yourself on a regular basis for privacy and security reasons.
IMPORTANT: All patient records are only kept for a maximum of 30 days on our servers after which they are permanently deleted for security and privacy purposes. Please ensure you transfer your notes to your EMR on a regular basis.
To view archived files, check the Show Archive box below. You can also unarchive any charts to restore them to the main Encounters view.
